ROBERTSON CREATIVE - TERMS & CONDITIONS
1. Booking and Payment
1.1 A non-refundable booking fee of £300.00 is required to secure videography services. This must be paid via bank transfer (details provided separately).
1.2 The remaining balance is due 45 days prior to the wedding date.
1.3 No services will be delivered unless full payment is received by the agreed due date.
2. Cancellation Policy
2.1 In the event of cancellation by the client, the following charges will apply:
- More than 3 months before the wedding date: Only the £300 booking fee is retained.
- Within 3 months of the wedding date: 50% of the total agreed balance is due.
- Within 2 months of the wedding date: 75% of the total agreed balance is due.
2.2 Cancellations must be submitted in writing via email.
3. Client Responsibilities
3.1 It is the client's responsibility to obtain permission for videography at all venues. Robertson Creative is not responsible for coverage lost due to access restrictions or permit issues.
3.2 The client agrees to reimburse any out-of-pocket expenses (e.g. parking fees) incurred by Robertson
Creative prior to delivery of the final product.
4. Creative and Coverage Terms
4.1 Robertson Creative will be the exclusive professional videographer for the event. Friends, family, or other content creators may film only if they do not interfere with professional coverage. Prior agreement is required for content creators.
4.2 Creative decisions, including filming style, music, and editing, are at the sole discretion of Robertson
Creative.
4.3 The videographer reserves the right to use all footage for promotional and portfolio purposes.
4.4 The final product will be delivered via a private Vimeo link, with optional personalised USBs available at
an additional cost unless otherwise included in the package.
5. Delivery and Review
5.1 Delivery Timelines:
- If the client's package includes a social media teaser, it will be delivered within 30 days after the wedding
date.
- If the package includes a highlight trailer, it will be delivered within 60 days after the wedding date.
- The final full wedding film will be delivered within 120 days after the wedding date.
Please note: While every effort will be made to deliver within these timeframes, delays may occur due to workload, seasonality, or unforeseen circumstances. Any delays will be communicated promptly.
5.2 Robertson Creative will notify the client upon final upload of the product(s). The client then has 7 days to report any technical or content issues. After this period, the product is considered accepted and approved.
5.3 Robertson Creative retains client files for 6 months following delivery. It is the client's responsibility to download and archive all content within this time.
6. Technical and Environmental Limitations
6.1 Robertson Creative is not liable for issues beyond our control such as weather, lighting, noise,
interference from guests, or venue conditions.
6.2 For events involving livestreaming, Robertson Creative is not responsible for interruptions caused by power outages, internet failure, or venue equipment malfunction.
6.3 A meal must be provided for the videographer(s) during the reception, with a reasonable break allowed.
Filming will pause during this time unless otherwise agreed.
7. Substitution and Liability
7.1 In the rare event that Robertson Creative is unable to attend the event, we reserve the right to assign or
subcontract the work to a qualified professional.
7.2 If no suitable replacement is available and Robertson Creative cannot fulfil the booking, all monies paid-including the non-refundable deposit-will be refunded in full.
7.3 Any liability on the part of Robertson Creative will be limited to the total amount paid under this
agreement.
8. Copyright
8.1 All video content and footage remain the copyright of Robertson Creative. The client receives personal usage rights for private, non-commercial use only.
9. Force Majeure and Safe Environment
9.1 If Robertson Creative is unable to perform in part or in full due to circumstances beyond reasonable
control (e.g. fire, natural disaster, pandemic, government restrictions, illness), Robertson Creative will notify the client as soon as reasonably possible.
9.2 In such cases, Robertson Creative is not obligated to perform but may offer to reschedule the services.
No further liability will be assumed.
9.3 Robertson Creative reserves the right to refuse to film or leave the event if conditions become unsafe or
violate applicable legal restrictions. This includes unsafe venue conditions or threatening behaviour from any attendee.
